Job Description

Invoice clerks, also known as billing clerks, send invoices to clients, issue account statements, and generate credit memos. Invoicing clerks keep the financial process of a business running smoothly by resolving billing errors, tracking payments, reporting financial irregularities, and handling all billing queries from clients.
Invoice Clerk Responsibilities:

Ensuring that customer account information details are kept up to date.
Ensuring that dispatch service issues are resolved so that billing is not delayed.
Creating and sending invoices and statements to customers.
Checking the billing data to ensure the accuracy of the final bill.
Understand the various processes required by customers of billing and manual input data for invoices to ensure prompt payment.
Create and answer customer email inquiries in a proficient and professional manner.
Accepting and tracking customer payment postings for accuracy and timeliness.
Reporting account or software issues or irregularities to the office manager.
Recognize and fix billing invoice errors before invoicing customers.
Liaising with the dispatch department about any driver report discrepancies regarding services and equipment.
Recovering outstanding debts.
Handling clients' account queries in a professional and calm manner.
Understand the processes for contract billing and purchase order requirements for invoicing and how to read and interpret contracts and purchase orders.
Understand how to interpret, process and invoice equipment, manpower and resources for special event and festival invoices.
Ensure that information received from dispatch and drivers match the dispatch reports for accurate billing.
Ensure that pricing within the billing software is accurate per each customer account and that quoted pricing is accurately recorded and entered.
Ensure that billing cycle pricing matches the service frequency of the customer, fix any issues with the customer billing account within the dispatch system.
Tracking service requests and equipment movement for customer records and for customer dispute resolution.
Scheduled self-auditing and self-review of invoices and accounts for billing and pricing accuracy and completeness.

Job Requirements

Ability to grow and adapt to the changes and updates of the position.
At minimum, a high school diploma or GED.
At least two years of clerical office or administration experience.
An associate degree (2 year) in accounting is preferred but not necessary.
Experience as an invoice clerk, account clerk or in general accounting is preferred.
Prior experience in the solid waste industry is a plus.
Advanced proficiency in computer input and digital file processes, such as MS Office 360 (especially Excel) and Adobe, have advanced working knowledge of accounting software, such as QuickBooks, Peachtree, or other Oracle-Based Programs. Must be able to process and edit digital files.
Excellent mathematics and complex problem-solving skills.
Ability to multi-task and to cross-over train in other positions to support the company.
The ability to clearly record customer account notations and attach digital records within the accounting system.
The ability to consistently meet deadlines and to work well under pressure.
Excellent organizational skills.
Ability to perform filing processes for both manual and digital files that require scanning, labeling, and digital filing in the correct formats.
The ability to handle customer queries calmly.
The ability to work independently or as part of a team.
Willingness to work in additional capacities to support the company when requested or required for special events and festivals during weekends, holidays, and after hour events.
